Transforming Lead Reactivation with an Advanced AI Voice Calling System: A Case Study

In the rapidly evolving landscape of lead management and customer engagement, leveraging innovative technology is essential for maximizing conversion opportunities. Recently, our team developed a sophisticated AI-driven voice calling platform that significantly outperforms conventional solutions, including GHL’s native voice features. Overview

Our core objective was to automate outreach to dormant leads stored in our clients’ databases, thereby transforming neglected contact lists into active conversations and appointments. This initiative targeted two primary clients: a mortgage broker and a solar energy installer, both of whom possessed extensive lead repositories that had not been effectively tapped.

Challenge with Existing Solutions

Initially, we experimented with GHLโ€™s built-in voice agent. The results were underwhelming: robotic interactions, inadequate objection handling, and scant analytics. Recognizing the need for a more natural and effective approach, we embarked on developing a custom AI voice system tailored to our clientsโ€™ specific needs.

Our Custom AI Voice System

Utilizing VAPI, an advanced AI voice platform, we crafted a conversational agent capable of engaging in human-like dialogues. Unlike robotic traditional systems, this AI can handle variations in speech, slang, and contextual cues.

  1. Real-Time Monitoring Dashboard

We built an intuitive dashboard using Next.js, providing clients with live data on call activity, success metrics, script performance, full call recordings, transcripts, and cost analysis.

  1. Intelligent Scheduling

The system respects individual time zones and operational hours, ensuring calls are made at optimal times without intruding on non-business hours.

  1. Multiple AI Personalities

To optimize campaign relevance, different AI “personalities” were developed, aligning voice tone and approach with specific target segments.

  1. Lead Deduplication

A deduplication mechanism prevents spamming, ensuring each lead receives one consistent follow-up.

Results Achieved

  • Automated Over 100 Calls Daily

The system now runs autonomously, initiating over 100 calls per day across campaigns.

  • 3% Booking Rate

While seemingly modest, this rate is notable given the leads’ dormant status. It translates into approximately five qualified appointments daily from a vast, previously unengaged list.

  • Connection Rate

Approximately 58% of calls result in meaningful connections, exceeding expectations for cold outreach.

  • Cost Efficiency

The average cost per call is approximately $0.
